SA Sports Ltd – Terms and Conditions for Children’s Sporting Events

Effective Date: 20th May 2025

These Terms and Conditions (“Terms”) apply to all children’s sporting events (“Events”) organised by SA Sports Ltd(“we”, “us”, “our”). By registering your child for one of our Events, you (“parent” or “guardian”) agree to be bound by these Terms.

1. Registration and Payment

  • All participants must be registered in advance using our official registration form or online platform.
  • Full payment is required at the time of booking unless otherwise agreed in writing.
  • Spaces are limited and will be allocated on a first-come, first-served basis upon receipt of payment.

2. Eligibility

  • Our Events are designed for children aged [insert age range, e.g. 5–16 years].
  • You confirm that your child is fit to participate and free from any condition that would make it unsafe for them to take part.
  • All relevant medical conditions, allergies, or additional needs must be disclosed at the time of registration.

3. Cancellations and Refunds

  • Cancellations made more than 7 days before the start of the Event will receive a full refund.
  • Cancellations made within 7 days of the Event are non-refundable, except in cases of illness supported by medical evidence or other exceptional circumstances (at our discretion).
  • SA Sports Ltd reserves the right to cancel or reschedule Events due to insufficient numbers, weather conditions, or unforeseen circumstances. In such cases, an alternative date or full refund will be offered.

4. Supervision and Collection

  • Children remain the responsibility of their parent/guardian until the Event officially begins and must be collected promptly at the scheduled finish time.
  • We do not accept responsibility for children outside of the scheduled Event times.

5. Conduct and Behaviour

  • All participants are expected to behave respectfully, follow instructions, and treat others with kindness and fairness.
  • SA Sports Ltd reserves the right to remove any child from the Event if their behaviour is unsafe, disruptive, or inappropriate. No refunds will be issued in such cases.

6. Safety and First Aid

  • All SA Sports Ltd Events are led by qualified staff trained in safeguarding and first aid.
  • By registering, you authorise us to administer first aid or seek emergency medical treatment for your child if necessary.
  • Parents/guardians will be contacted as soon as possible in the event of an incident.

7. Personal Property

  • SA Sports Ltd cannot accept liability for the loss of or damage to personal belongings brought to the Event.
  • Participants are encouraged not to bring valuables to sessions.

8. Photography and Media

  • We may take photographs or video footage for promotional purposes on social media, our website, or printed materials.
  • You will be asked to provide consent for media use at the time of registration. No media will be used without prior consent.

9. Insurance and Liability

  • SA Sports Ltd maintains appropriate public liability insurance.
  • We accept no liability for any injury, loss or damage resulting from participation in Events except where caused by our proven negligence.

10. Safeguarding

  • SA Sports Ltd acknowledges its responsibility to safeguard the welfare of every child and young person.
  • A child or young person is anyone under the age of 18 engaged in SA Sports Ltd activity. We are committed to providing a safe, inclusive and positive environment where all participants feel protected and supported.
  • All staff working with children are DBS checked and follow safeguarding best practises.
  • We follow child protection guidelines and will report any concerns to the appropriate safeguarding authorities.
  • Parents or guardians must provide accurate emergency contact details and inform us of any relevant medical or behavioural needs.
  • Children must be dropped off and collected by a responsible adult, unless prior written permission is given.
  • By enrolling a child in our events or clubs, parents/guardians agree to these safeguarding measures.

11. Data Protection

  • Personal information provided during registration will be stored and used in accordance with the UK GDPR and the Data Protection Act 2018.
  • We will only use your data for purposes related to your child’s participation and will never share your information with third parties without consent, unless legally required.

12. Changes to Terms

SA Sports Ltd reserves the right to amend these Terms at any time. The most current version will always be available on our website.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the English courts.
